Allocate licenses
Allocate licenses to students from your school's page in the admin portal. You can tick many students at once. A license that has expired can't be allocated.
For: school (site) admins and district admins
Before you start
Licenses are held per student and per curriculum. A Transition license doesn't cover an Emotional Well-Being course, and the reverse is also true. To check which students already have one, see See which students have licenses.
Allocate licenses to students
- In the admin portal, open your school and click 'Allocate Licenses'.
- Choose the 'License'. To narrow the list, pick a 'Class'.
- Tick the students, or click 'Select All'.
- Click 'Save'.
You'll see 'Changes saved successfully'.
District admins can also start from 'Licenses': click the subscription, then 'Allocate >' next to a school.
Take back a license a student hasn't used
To take back a license from a student who hasn't started, untick them in 'Allocate Licenses' and click 'Save'. The license goes back into your available pool.
If a license is locked, see See which students have licenses, and what expired or locked licenses mean.
Set a limit for each school (district admins)
Set a limit on how many of the district's licenses each school can use. The limit is set per curriculum subscription.
- In the admin portal, click 'Licenses' in the left menu.
- Click the subscription.
- Under 'Site Allocation', enter the school's 'Allocation Limit'.
- Click 'Save'. You'll see 'Changes saved'.
If you run out of licenses
If 'Allocate Licenses' shows 'Available to allocate: 0' or Not enough licenses to allocate, your school's limit or your district's licenses are used up. Your district admin can raise your school's limit.
If you've run out of licenses, first free the ones students never used, as above. Check 'Site Allocation' on the subscription for spare licenses at another school, and change the schools' 'Allocation Limit' if needed. To move licenses to your school, untick students who haven't started at the other school, then allocate them at yours.
If there are no licenses left to give and you still need more, send us a request. See Renew, add licenses or ask for an extension.
If you want teachers to allocate licenses
If your district lets teachers allocate licenses, teachers see '+ Allocate New License' on a student's 'Licenses' tab, and a seat is given when they assign a course. The student step of their new assignment shows how many licenses are available. If they only see 'No valid licenses found', their school or district admin allocates licenses.
The district setting is 'Allow teachers to allocate available licenses'. To turn it on or off, see Choose what teachers can manage (district settings).
